Running your shop in Concourz
Short answers for every part of the app. Buttons and menus are written the way they appear, like New booking.
Getting started
- Look around first. Concourz opens with a sample shop (a demo strip says so). Click through the board, a job and a client’s tracker.
- Clear the samples with Clear demo data on the demo strip. Your menu, team and settings stay.
- Follow the setup checklist on the dashboard: your shop profile, menu and prices, team, stock count, first booking and first check-in. Each step ticks itself off when it’s done.
- Put your details in at Settings · Shop profile: name, address, phone, hours, sales tax, and the drop-off agreement clients sign.
Shop account and devices
Without an account, Concourz works on one device. A shop account puts the same shop on every phone and tablet, and turns on online booking, client pages, email updates and card payments.
- On one device: Settings · Shop account → enter your email → Email me a sign-in code → type the code.
- Create shop account. This device’s records become the shop’s.
- Invite staff under People on this account. They sign in with that email on their device and choose the shop.
Offline: each device saves first and syncs when it’s back online. Which technician uses a device: set it at Settings · This device and it opens on their day.
Bookings
- New booking (Schedule or a client’s page) books a visit. Choose Repeat for weekly or biweekly regulars.
- Online booking: copy your booking link from Settings · Shop account and put it on your website, Google profile and socials. Clients pick a size, services, extras and a time; the booking lands on your devices within seconds.
- Services marked quote first (full color change wraps, full-body film, repairs) aren’t bookable online; the booking page asks clients to call.
- Your menu, prices by vehicle size and time per service are in Services & pricing.
Check-in
- Photo check-in (or Snap before photo on a booked job) opens the camera.
- The first before photo creates the car’s ID and profile, or matches a car you’ve seen before by plate, VIN or owner. With photo ID on, the make, model, color and plate are read from the photo; you confirm them.
- Take the walk-around photos, tap the diagram where there’s existing damage and describe it, then the client signs the drop-off agreement on the device.
On the floor
- Shop floor shows every car by stage. Drag a card, or use its button: Start work, Send to quality check, Mark ready for pickup, Hand over keys.
- Each job has a checklist for its services, a labor timer, photos and notes. Recommend work sends extra work to the client to approve from their tracker.
- Before a car is marked ready, Concourz checks for open quality-check items, missing after photos and missing film details.
- Most changes can be undone for a few seconds from the message at the bottom of the screen.
Client updates
Confirmations, reminders, check-in, ready-for-pickup and thank-you notes are written for you at the right moment. Edit the wording in Client updates.
- By email: with a shop account, turn on Email updates to clients who chose email. They go out in your shop’s name and replies come to your shop email.
- From your phone: any update can be sent with Send from my phone, which opens your texting or mail app with the message filled in.
- Every update includes the client’s tracker link.
Quotes and repairs
- Quotes · New quote, choose the client and car, and add lines from your menu or custom lines.
- Repairs are priced per unit: per dent, spot, wheel or area, by size. Change a line’s size in place.
- From damage: on a checked-in job, Quote repairs for this damage turns the damage marks and condition notes into suggested lines. Check each size and quantity.
- Log quote for client writes the message with the quote link. The client approves or declines online; then Book it.
Tint, PPF and wraps
- Jobs with film services show a Film record card: Record film details for the film brand and line, the shade on each window, the panels covered, and the color and finish.
- At handover it’s saved on the car’s protection record with the warranty, printed on the vehicle history report, and shown on the client’s tracker.
- Add your state’s tint rules at Settings · Tint rules note; it shows while recording shades.
Dealer and fleet accounts
- On the client’s page: Make this a dealer or fleet account. Set the company, billing email, terms, any percentage off, fixed prices, and whether a PO number is required.
- Add several cars drops a batch with stock numbers, VINs and one PO.
- Set up recurring visits keeps cars booked every week, two weeks or four weeks.
- Their work is billed on account. Create statement, print it, Log for account, and Mark paid when the check or transfer arrives. Overdue statements show on the dashboard.
- Copy portal link gives their manager a page with every car in the shop, booked and finished, and open statements.
Payments
- Record payment on a job for cash, checks and your own card terminal.
- Card payments online: the owner uses Set up card payments in Settings, which takes about ten minutes on Stripe’s pages (business details, bank account, ID). After that, clients can pay ready and finished invoices from their tracker, and the job is marked paid by itself.
- Refunds and payouts: Payouts and refunds (Stripe) in Settings.
Calendar and accounting
- Create calendar link for the whole shop or one technician, then Add to Google Calendar or Apple or Outlook. Google refreshes subscribed calendars a few times a day, so new bookings can take a few hours to appear there.
- Pick a period and download Invoices (QuickBooks), customers, payments or sales by day. In QuickBooks Online, import customers first, then invoices.
Plans, supplies, team and reports
- Plans: memberships with included services and a member discount.
- Inventory: stock counts down as work is finished, with reorder warnings and what booked work will need.
- Team: hourly, commission or both; the pay report works it out from finished jobs.
- Reports: revenue, services, technicians, top clients and dealer accounts.
Your Concourz plan
New shops get a 14-day free trial. The owner chooses a plan at Settings · Shop account · Choose a plan, and changes the card, switches plans or cancels with Manage billing. If a plan lapses, nothing on your devices is deleted; syncing, client pages and online booking pause until you choose a plan again.
Backups and your data
- Settings · Download backup saves everything to a file; Restore backup brings it back.
- Erase everything clears one device. With a shop account, the shop’s records stay on the other devices and our servers.
- More in your data.
